1. Booking the visa slot before APS is in your hand
APS is academic verification, not the visa. For most Indian applicants it is still the gate before a useful embassy/VFS appointment. People treat the 3–5 week estimate as a calendar reminder and book the slot the week they upload documents. Then APS queries a transcript, the certificate slips, and the appointment is wasted or rescheduled into peak winter-semester chaos.
You are in this trap if: you have a uni-assist or university login, a tentative VFS date, and no APS certificate PDF yet.
Do this instead: start APS the week you shortlist Germany, not the week you get the Zulassungsbescheid. Do not pay for a visa slot until the certificate number is on the file you will actually submit. Process and fees live on the Germany student visa page — this page will not repeat them.
2. Using a home-bank statement as if it were a Sperrkonto
A healthy HDFC or SBI balance is not German living-cost proof. Missions want a blocked account confirmation from a recognised provider, a qualifying scholarship letter, or a Verpflichtungserklärung from someone in Germany. Screenshots of “funds can be transferred” get files bounced.
The second version of this mistake is opening the Sperrkonto and then under-funding it after FX, provider fees, or a mid-year change to the official monthly rate. The destination page lists the current planning figure. Confirm the instrument in force before you remit. A shortfall of a few hundred euros is still a shortfall.
Do this instead: open and fund the blocked account the week the admission letter is unconditional. Wait for the confirmation letter the embassy actually names, not the provider’s “transfer initiated” email. If a DAAD (or similar) letter is your proof, check it covers the full 12 months the mission wants — many awards do not.
3. Treating a conditional offer as a visa document
Visa posts want an admission letter they can read as permission to study, not “subject to APS,” “subject to Studienkolleg,” or “subject to language.” Families book flights on a conditional PDF because the university portal says “admitted.”
Do this instead: map conditions to calendar. Language and APS belong before the visa file. If you still need a Studienkolleg, that is a different enrolment story — do not force it into a degree-semester visa packet. How to apply is the admissions overview; do not mix it with embassy day.
4. Money that appears overnight, or a sponsor who is not in the story
Blocked-account funding from an account that never appeared in the rest of the file, or a relative who is not the named sponsor, reads as borrowed funds. Officers compare the Sperrkonto remitter with the affidavit, loan letter, and your SOP. A single large inbound transfer a few days before the confirmation letter is issued is the pattern they already know.
Do this instead: remit from the account that already sits in your paper trail. If it is an education loan, use the sanction that names you and Germany, and be ready to explain disbursement vs blocked-account timing. Do not invent a second sponsor at the counter.
5. Assuming the blocked amount is what you will live on in Munich
The Sperrkonto release is a visa proof of funds, not a city budget. Munich and Frankfurt rent can eat the monthly release before food and insurance. Leipzig is a different spreadsheet. Students “pass” the visa and then run out of cash in month four, which is not an embassy problem — it is a planning problem.
Semester contribution and statutory health insurance are also not optional add-ons you discover at enrolment.
Do this instead: build living cost on the Germany cost tables by city, then treat the blocked account as the legal floor. If the city you want does not fit the monthly release plus family top-up, change city — do not hope for 140 full working days to rescue the rent.
